Once you’ve started to manage your work using my projects and tasks, you’ll want to keep an eye on your most important deadlines, your favorite clients, your own team’s work, et cetera. That’s exactly where Smart Lists come in handy. Let’s head over to the ‘My Tasks’ screen and select the group ‘Smart’.
By clicking the Add Smart List area, you can either choose from Smart Lists others have already created and shared with you, or you can create your own from scratch. That’s what we’re going to do now. For this tutorial, let’s assume that we want to keep an eye out for tasks that are due within the week but don’t have anybody assigned to do the work. Tasks like that always give me the creeps.
We’ll now give our new Smart List a name and start adding filters. First of all, let’s add a ‘User Filter’ to include all tasks without assignee. As you can see from the updated preview, I already found a few tasks for our list. Now, let’s limit this list to projects that are officially ‘In Progress’ by adding a ‘Project Filter’. Great. Our final filter will add the 7 day deadline to the list. We’ll choose ‘In X Days’ as the filter type and give it a duration of 7.
Finally, we need to decide to either be nice and share our awesome Smart List with everybody or keep it to ourselves. Let’s not be nice this time around.
- A complete board of all your teams tasks.
- A list of all tasks of a specific type (for example project milestones)
- A special client’s tasks
